Primary Purpose:

The Dispatcher coordinates and supports the daily transportation operations of the district by assigning routes, scheduling drivers, coordinating field trips, and maintaining communication between drivers, schools, parents, and transportation staff. This position ensures the safe, efficient, and timely transportation of students while maintaining accurate routing, trip scheduling, and operational records. The Dispatcher assists in supporting drivers, monitoring operations, and supporting department safety and compliance procedures.

 

Minimum Qualifications:
  • High school diploma or equivalent required.
  • Commercial Driver’s License (CDL) with School Bus Passenger endorsement required or ability to obtain within 6 months of employment.
  • Experience in transportation dispatching, routing, logistics, or related operations preferred.
  • Experience with routing or transportation management software (e.g., VersaTrans, TripTracker) preferred.

Major Responsibilities and Duties:

 Dispatch Operations

  • Coordinate and dispatch school bus routes and field trips to ensure efficient transportation services.
  • Assign emergency transportation trips as needed.
  •  Monitor radio traffic and assist with overflow from high-volume call center operations.
  •  Maintain up-to-date dispatch sheets showing route times, vehicle assignments, and driver assignments.
  • Assist Routers in maintaining and correcting route sheets as needed.
  • Assist in the coordination of daily transportation operations to meet departmental needs.

Driver Coordination and Direction
  • Assign daily routes to approximately 15 substitute drivers.
  • Schedule retired substitute drivers when necessary.
  • Monitor driver attendance and on-time reporting for duty.
  •  Monitor the substitute drivers and report findings to the Director of Transportation.
  • Assist in clarifying and assigning work to drivers and other transportation personnel as required.
  • Hold a CDL with School Bus Passenger endorsement and operate routes or shuttle trips as needed.

Field Trips and Activity Transportation

  • Schedule and monitor all academic and extracurricular transportation needs.
  • Maintain the online Emergency Trip List.
  • Utilize routing and trip scheduling software - currently VersaTrans and TripTracker.
  • Print trip sheets and distribute them to drivers.
  • Create and distribute weekly trip sheets for various employee groups.
  • Work with AD’s & AD Secretaries on sports trip confirmations, coverage and communication.
  • Work with Schools to schedule and coordinate trips
  • Facilitate Friday Trip Picks and resolve complex trip issues.
  • Dispatchers will work alternating Saturday hours from 6 am-10 am during heavier trip times as deemed necessary by the Director or Manager.

Communication and Customer Service
  • Respond to concerns from parents, principals, and students and assist in resolving transportation issues.
  • Retrieve and communicate messages from the Not Riding Hotline to the appropriate staff.
  • Provide training and support to district employees on the field trip scheduling program.

Safety and Compliance
  • Assist the Safety Manager with scheduling school bus evacuation drills.
  • Ensure radio communications follow FCC regulations and district expectations.
  • Promote the use of technology to support efficient transportation operations.

Administrative and Operational Support
  •  Assist in recordkeeping of transportation and operational data.
  • Maintain information within the field trip management system.
  • Support department operations during critical periods such as start-of-school and end-of-school, which may require additional hours worked.
  • Open the transportation facility when you are the first to arrive and secure the building when you are the last to leave, according to established procedures.
  • Provide assistance and coverage when the other dispatcher is unavailable

Work Schedule
       Dispatchers are scheduled to work 30 hours per week
           o       AM Dispatcher shift is 5:00 am-11:30 am, with a 30 minute unpaid lunch and a 15 minute paid break per 3 hours worked.
           o       PM Dispatcher shift is 10:30 am-5:00 pm, with a 30 minute unpaid lunch and a 15 minute paid break per 3 hours worked.

Posture: Frequent sitting and standing; occasional bending/stooping, pushing, pulling, and twisting.

Motion: Frequent movement throughout the work environment. Repetitive hand motions; frequent keyboarding, use of mouse, and occasional reaching.
 
Lifting: Occasional light lifting and carrying less than 20 pounds
Environment: May work prolonged or irregular hours
 
Mental Demands: Have the ability to solve complex problems in situations where only limited standardization exists. Ability to interpret instructions provided through written and oral form. Ability to work with frequent interruptions and maintain emotional control under stress.
